MS Word, Excel, and Co.

When working with QBD.Net, you do need to master any new type of editor in order to create and manage your documents – you work right in your familiar IT-environment and use exactly the same e.g. MS Office programs you use today. The document control processes are managed via a simple, MS Explorer-oriented tree structure that you are familiar with from your day-to-day MS Windows. This all means that there is no need to for extensive introductory trainings and you can work with your own tried and trusted tools right from the beginning on.

All projects and documents, Word files, Excel forms, or flowcharts can be transferred to your QBD.Net document environment with the click of a button and existing documents can be imported directly to the position in the workflow they are required at. Of course you can also use existing templates as basis for your new documents.

Electronic Signatures and Biometric Access Control

Amongst other rules and regulations, the software QBD.Net fulfils the strict demands posed by the automotive and medical technology sectors as well as the rules of FDA 21 CFR Part 11. These include the need for consistent access control, rights monitoring, traceability, and history management. The biometric access control in QBD.Net, for instance, facilitates fulfilment of a variety of the aforementioned documentation rules and regulations. Same applies for the optional multi-password-protected document access system that allows company-wide control of individual documents or entire document and project structures.

Workflow System

The workflow system in QBD.Net allows you to specify down to the minutest detail, who is responsible for document creation and content, and who is responsible for recipient nomination. The scalable due-date monitoring functions ensure that no job is forgotten. The application of status and workflow specific encoding and rights management measures means that even the most sensitive data is protected all throughout the system.

Revision Control and Workflow History

Regardless of whether you use freely defined revision numbers or the program’s fully automated and highly flexible revision control system – the software always provides a clear overview over all valid and revised versions of your documents. You can even securely store older document versions on your document server. The workflow history always remains intact. One click in the document history allows you to immediately determine and prove when and where who created or approved what document. The powerful search functions in QBD.Net help you to find any document and any historical version of a document you are looking for in your online library. Once found, you can mark any number of documents and set them to revision status, process them in your familiar software environment, and enter them into the document-specific workflow – each step with just one click of a button.

One Text – Two Versions

QBD.Net allows you to simultaneously distribute two versions of a document in your system: one version that includes change mark-ups and one version in which the changes have already been implemented. When the document is published, the software automatically creates two PDF files and you can determine who should receive which version of the PDF file.

This function means that you are always in command of two versions: one “chronology” document including all change mark-ups and one “clean” document where every change has been effected. If the document is revised, QBD.Net will once again create an “old” version of the document that includes mark-ups, changes and comments, and a “new” version that can be used for starting a fresh document, based on the changes previously implemented.

Active QM Content in Your Documents

QBD.Net allows you to insert active database content or links to further applicable documents in shape of active document attributes. This means that you can e.g. refer to other documents, cost centers, gauges, persons, etc. from directly within your SOPs, inspection orders, user manuals, or any other type of document you use. If, for instance, you wish to replace a gauge or a cost center has changed, you can revise all SOPs in which this gauge is featured or this cost center is referred to with just one click. The software independently and automatically monitors all the links to further applicable documents that are embedded in your projects or documents. This means that you can rest assured, that links and references are always valid and kept up-to-date. Invalid, outdated, or orphaned references can thereby be eliminated.

100 % Paper-Free Documentation

The document control functions in QBD.Net allow you to define, in advance, how a document is to be distributed or published upon completion. This can be determined either document, project, workflow, or job specifically. Prior to completion of the document, you can already predefine who should be allowed to print, copy, or distribute the document. You can also make your documents available to a predefined group of recipients via the user-friendly internet/intranet reader. These nominated recipients will not even require the software QBD.Net to access the document you send them. All these functions can be executed automatically and on a global scale if required.

The freely definable workflow allows you to determine e.g. whether a document should always be opened automatically in the PDF viewer or a watermark should be included in the printout in order to verify process status or validity. Utilize all the information pathways in your company and publish your documents within your existing intranet/internet platforms in order to make them available to specific recipients – globally, platform-independent, and always in accordance with the most current document status.

Monitor Due Dates and Keep Jobs Under Control

The software QBD.Net relieves you from your time consuming manual job management processes and automatically monitors all unresolved processes within your document workflow. Whether inspection, approval, or publication: QBD.Net ensures that all deadlines are met and outdated, obsolete, or incomplete documents are excluded from the current workflow.
